Privacy Policy

This Privacy Policy describes how Sathuram Software Services (OPC) Private Limited ("we," "us," or "our") collects, uses, and discloses information in connection with the provision of our basic Project Management, Expense Tracking, and Invoice Creation SaaS solution (the "Service").

1. Roles and Scope

We act as a Data Processor for the vast majority of information you input into the Service (Client Data). We act as a Data Controller only for the specific information needed to manage your subscription and account (Account Data).

2. Information We Collect

We primarily collect two types of information:

A. Client Data (Processed on your behalf)

This is the data uploaded or created by the Client and its Users in the course of using the Service. This includes:

  • Project names, descriptions, and timelines.
  • Expense records, categories, and amounts.
  • Invoices, client/vendor names, addresses, and tax details.
  • Any sensitive information contained within file attachments or notes.

We only process Client Data as directed by the Client, who is the Data Controller of this information.

B. Account Data (Controlled by us)

This is information necessary to manage the customer relationship and provide technical access. This includes:

  • Contact Details: Names, email addresses, and phone numbers of the primary billing and technical contacts.
  • Billing Information: Subscription plan details, payment history, and necessary details for payment processing (processed securely via third-party providers like Razorpay; we do not store full credit card numbers).
  • Usage Data: Logs, timestamps, IP addresses, and information about how users interact with the Service (e.g., which features are used most).

3. How We Use Information

We use the collected information for the following purposes:

  • Service Provision: To operate, maintain, and provide the core functionality of Project Management, Expense Tracking, and Invoicing.
  • Security and Compliance: To monitor system usage, prevent fraud, and ensure the security of the Service and Client Data.
  • Communication: To send service-related notices, technical alerts, and support responses.
  • Improvements: To analyze usage data to improve the functionality, performance, and user experience of the Service.

4. Data Security

We implement commercially reasonable technical and organizational measures to protect Client Data and Account Data from unauthorized access, disclosure, alteration, or destruction. However, no internet transmission is 100% secure.

  • All data transmitted between the Service and Users is protected using SSL/TLS encryption.
  • Client Data is stored in secure, access-controlled data centers.

5. Data Retention

We retain Account Data for as long as a Client has an active Subscription and for a limited time thereafter as required by law or for necessary business purposes. Client Data is retained in accordance with Section 5 (Termination) of our Terms of Service.

6. Your Rights

As the Client (Data Controller), you have the primary responsibility for ensuring your users' personal data rights are met. You can exercise your rights related to Client Data by using the features within the Service (e.g., export, deletion, modification). Users can update their Account Data (name, email) within the user settings section of the application.
